QR asset management for schools, libraries and hostels

Start with an asset register

Import or create records for asset ID, category, serial number, department, assigned person, purchase date and status. Keep sensitive student information separate from the public scan profile.

Choose public and private fields

A finder may see the institution name, asset category and return instructions. Staff-only fields can include invoice, internal location, assignment history and maintenance notes.

Batch activation

Generate unique QR IDs in batches, print labels at a tested size and scan every label before attaching it. Use department-level onboarding and an audit trail for activation.

Issue and return workflow

Record who received an item, expected return date and condition. When an item is lost, enable a recovery profile and connect public reports to the internal asset record.

Governance and privacy

Define admin, staff and viewer roles. Avoid public student names, contact numbers or medical information. Review access logs and remove former staff accounts promptly.
